OQ RPI RAM Exhibition is designed to showcase innovative solutions, products, and technologies that support excellence in maintenance, reliability, and asset management across industries.

The conference and exhibition is scheduled to take place at Radisson Blu, Sohar from September 15-16. Exhibition preparation, setup and installation will be one or two days before the conference days.

Exhibition hours will be identified according to conference agenda and schedule.

1. Event Ownership and Organization

• OQ RAM Conference and Exhibition is fully owned by OQ.
• The event is organized and managed by Experiment-Events as an appointed event management vendor acting on behalf of OQ.
• All final decisions regarding the event remain the sole authority of OQ.

2. Exhibitor Eligibility

• Exhibitors must offer products, services, tools, or solutions relevant to:
  • Maintenance & Reliability optimization
  • Physical Asset Management & performance management (APM) solutions
  • Predictive maintenance & Condition monitoring
  • Asset integrity
  • Turnaround and shutdown management and optimization
  • Industrial AI, Digital transformation, IIoT, and robotics.
  • Reliability engineering & management
  • Energy efficiency, Sustainability and emissions reduction
  • Learning and Capability Development
  • Industrial technologies and tools
• OQ reserves the right to accept, reject, or limit exhibitors at its sole discretion.

3. Booth Allocation

• Booths are limited to the shown layout at the attached "Exhibition Packages Rev 05" and allocation is based on and be served with "First Come First Served" concept.
  • OQ/Organizer reserves the right to apply minor adjustments to booth locations if necessary for overall layout optimization and as per as built final tent configuration.

4. Exhibition Setup & Dismantling

• Exhibitors must:
  • Adhere strictly to setup and dismantling timelines
  • Ensure booth readiness before exhibition opening
• Early dismantling is strictly prohibited without prior approval.
• Any damage caused to venue/property will be the exhibitor's responsibility.

5. Booth Design and Conduct

• Booth design and installation will be provided and done by the organizer as per indicated at "Exhibition Packages Rev 05"
• All booth exhibitors' setups must:
  • Be professional and aligned with event standards
  • Not obstruct neighboring exhibitors
• Exhibitors must:
  • Avoid excessive noise, unsafe demonstrations, or disruptive activities
  • Maintain a clean and safe booth environment
• Hazardous materials or activities are not permitted without prior written approval

6. Branding and Promotion

• Exhibitors may:
  • Promote their products/services within their designated space
• Exhibitors may not:
  • Use OQ or RAM branding without prior written consent
  • Conduct promotional activities outside assigned areas without approval
• Exhibitors will not grant other sub-exhibitors to share their booth unless OQ approved.
• Any approved sub-exhibitor or co-branding must follow the same approved guidelines.

7. Staffing and Access

• Exhibitors must:
  • Ensure booths are staffed at all times during exhibition hours
  • Provide and register staff details in advance
• All personnel must comply with:
  • Venue rules
  • Health, safety, and security regulations
• Exhibitors will not give or grant or accept visitors except for those registered through OQ conference application.

8. Health, Safety, and Compliance

• Exhibitors must comply with:
  • OQ HSSE policies
  • Venue safety regulations instructions and plans
• Exhibitors are fully responsible for Safe operation of related equipment
• OQ/Organizer reserves the right to stop any unsafe activity immediately

9. Logistics and Deliveries

• All deliveries must follow:
  • Designated schedules
  • Approved access points
• OQ/Organizer is not responsible for loss or damage to exhibitor property
  • Exhibitors are responsible for Storage, handling, and security of their materials.

10. Payment Terms

• Exhibitors will need to pay the full amount of registration after selection of related booth(s), confirming these terms and conditions and OQ confirmation for the selected Booth(s).
• Participation is confirmed/granted only upon Full payment and according to agreed payment schedule.

11. Cancellation Policy

• In case of exhibitor cancellation:
  • Fees may be non-refundable or partially refunded depending on timing as follows:
    • 10% of the fees are deductible on cancellations before 1st August 2026
    • 50% of the fees are deductible on cancellations after 1st August 2026 to 1st September 2026
    • Any cancellations after 1st September are totally non-refundable
• OQ reserves the right to:
  • Modify, postpone, or cancel the event if necessary
  • In such cases, liability is limited to refunding participation fees.

12. Liability and Insurance

• Exhibitors participate at their own risk
• OQ and the Organizer shall not be liable for:
  • Loss, theft, or damage to exhibitor materials
  • Injury or damage caused by exhibitor operations

13. Intellectual Property

• Exhibitors are responsible for:
  • Ensuring their displays do not infringe on intellectual property rights
• OQ reserves the right to remove any content violating regulations or standards

14. Force Majeure

• OQ shall not be liable for failure or delay due to:
  • Natural disasters, wars and closures.
  • Government restrictions.
  • Any unforeseen circumstances beyond control.

15. Acceptance of Terms

• By participating, the exhibitor agrees to:
  • Comply with all terms and conditions
  • Follow instructions issued by OQ and the Organizer
• OQ reserves the right to:
  • Enforce rules and take corrective actions if deemed mandatory needed.

1. Acceptance of Invitation

By registering to attend the conference, the Registrant/Attendee agrees to comply with these Terms and Conditions and all reasonable instructions provided by OQ or Organizer on behalf.

2. Registration and Admission

• Registration is subject to confirmation by the Organizer.
• The Organizer reserves the right to refuse, cancel, or revoke registration at its discretion if participation is deemed inappropriate or contrary to event policies.
• Registration badges are personal, non-transferable, and must be worn at all times within the event premises.

3. Fees, Cancellation, and Substitutions

• Registration fees are payable in full upon registration & prior to event participation.
• In case of attendee cancellation:
  • Fees may be non-refundable or partially refunded depending on timing as follows:
    • 25% of the fees are deductible on cancellations after up to 1st September 2026
    • Any cancellations after 1st September are totally non-refundable
• Substitutions may be permitted upon prior approval from OQ.

4. Photography, Recording, and Media

• The event will be photographed, filmed, and recorded.
• By attending, participants grant the Organizer and OQ the right to use photographs, video recordings, & other media containing their image, voice, or likeness for promotional, educational, and archival purposes without further consent or compensation.
• Unauthorized recording or distribution of presentations or event content may be prohibited unless expressly permitted.

5. Code of Conduct, Cultural Respect and Representation

• Respect for Omani Culture and Values: The Registrant/Attendee shall conduct themselves professionally and respectfully, in accordance with the customs, cultural values, and laws of the Sultanate of Oman.
• Professional and Culturally Appropriate Attire: The Registrant/Attendee shall dress appropriately for a professional environment.
• Respectful Engagement and Conduct: The Registrant/Attendee shall treat all attendees, sponsors, exhibitors, staff, and speakers with courtesy, professionalism, and respect.
• Commitment to a Safe and Inclusive Environment: The Registrant/Attendee agrees to refrain from any form of harassment, discrimination, intimidation, bullying, offensive conduct, or disruptive behavior that could negatively impact the experience, safety, or well-being of others.
• Compliance with Policies, Regulations, and Legal Requirements: The Registrant/Attendee shall comply with all event policies, venue regulations, health and safety requirements, and applicable laws.

6. Intellectual Property

• All presentation materials, recordings, and event content remain the intellectual property of their respective owners.
• Attendees may not reproduce, distribute, publish, or commercially exploit event content without prior written permission.

7. Health, Safety, and Security

• Attendees shall comply with all venue rules, health and safety requirements, and security procedures.
• OQ and Organizer on behalf reserves the right to inspect bags and personal belongings where required by venue or security policies.

8. Liability

• Attendees participate in the event at their own risk.
• Neither OQ, the Organizer, venue operators, nor event partners shall be liable for any loss, theft, damage to personal property, injury, or other claims arising from attendance, except where liability cannot be excluded by law.

9. Force Majeure

Neither party shall be liable for failure to perform obligations due to events beyond their reasonable control, including natural disasters, government restrictions, public health emergencies, labor disputes, or technical failures.

Payments refunds upon this case will be subject for Force Majeure applicable rules.

10. Compliance with Laws

The Registrant/Attendee agrees to comply with all applicable laws, regulations, sanctions, and professional standards relevant to their participation.

11. Agreement

Acceptance of the registration constitutes acknowledgment and agreement to these Terms and Conditions.
